Goal

Update property ownership records when ownership transfers occur to maintain accurate tax responsibility records.

Prerequisites

Before starting this workflow, ensure you have:

  • Legal documentation proving ownership transfer (deed, court order, will)

  • Complete information for all new owners

  • Transfer authorization from current owners (if applicable)

  • Effective date for ownership change

  • Percentage ownership details for multiple owners

Step-by-Step Instructions

Step 1: Verify Documentation

  1. Review transfer documentation for completeness:

    • Legal deed or court order

    • Notarization and official stamps

    • All required signatures present

  1. Confirm document authenticity with land registry if needed

  2. Verify effective date of transfer

Step 2: Update Owner Records

  1. Access the Property Management module

  2. Locate the property record using property ID or address

  1. Navigate to "Ownership" tab

  1. Create new owner records if they don't exist in system:

    • Full legal name

    • Personal identification number

    • Mailing address

    • Contact information

Step 3: Adjust Ownership Percentages

  1. Set end date for current ownership records

  1. Create new ownership entries with effective date

  2. Enter ownership percentages for each owner:

    • Ensure total equals 100%

    • Apply fractional ownership if multiple owners

  1. Update primary contact designation

Step 4: Transfer Tax Responsibility

  1. Determine tax liability transfer date

  1. Prorate current year taxes if mid-year transfer

  2. Update billing address for tax notices

  1. Transfer any existing exemptions (if applicable)

  2. Create ownership change audit record

  1. Verify ownership percentages total 100%

Process Steps:

  1. Documentation: Sales contract and deed reviewed and approved

  2. End Previous Ownership: Maria's ownership ended March 14, 2024

  3. Start New Ownership: Erik's ownership begins March 15, 2024

  4. Tax Proration: Q1 taxes remain with Maria, Q2+ taxes assigned to Erik

  5. Notice Update: Tax notices redirected to Erik's address
