Register a New Property

Goal

Register new properties in the municipal property tax system to ensure proper taxation and record keeping.

When to Use

This workflow should be used for:

  • New construction projects

  • Property subdivisions

  • Land registry updates

  • Previously unregistered properties entering the tax system

Prerequisites

Before starting this workflow, ensure you have:

  • Property survey data and legal descriptions

  • Complete owner information and contact details

  • Location codes and municipal zoning information

  • Building permits and construction documentation (if applicable)

  • Property identification numbers from land registry

Step-by-Step Instructions

Step 1: Create Property Record

  1. Access the Property Registration module in Wise Property Manager

  2. Click "New Property" to start registration process

  1. Enter basic property information:

    • Property address and legal description

    • Lot size and dimensions

    • Property type (residential, commercial, industrial)

    • Construction year and building details

Step 2: Assign Location

  1. Verify property location using GIS mapping tools

  1. Assign appropriate location codes:

    • Municipal district code

    • Neighborhood classification

    • Zoning designation

  1. Confirm property boundaries match survey data

Step 3: Set Up Assessments

  1. Determine initial assessment values:

    • Land value based on location and size

    • Building value based on construction type and age

    • Total assessed value calculation

  1. Apply appropriate assessment methodology

  2. Set assessment effective date

Step 4: Link Owners

  1. Create or link existing owner records

  1. Enter ownership percentages (must total 100%)

  2. Set up mailing addresses for tax notices

  3. Configure ownership effective dates

Step 5: Final Verification

  1. Review all entered data for accuracy

  1. Confirm property doesn't duplicate existing records

  1. Validate assessment calculations

  2. Save and activate property record

Scenario: Register new residential property at Laugavegur 25, 101 Reykjavik

  1. Property Details: Single-family home, 150 sq m, built 2024

  2. Location: Downtown Reykjavik, residential zone R4

  3. Assessment: Land value ISK 8,000,000, Building value ISK 15,000,000

  4. Owner: Jon Jonsson, 100% ownership, residing at property address

  5. Effective Date: January 1, 2024 (construction completion)

Common Errors & Fixes

Duplicate Property IDs

  • Error: System shows property already exists

  • Fix: Check existing records, verify if this is a subdivision or separate unit

Missing Location Data

  • Error: Unable to assign location codes

  • Fix: Coordinate with GIS department to update mapping data

Owner Verification Issues

  • Error: Cannot verify owner information

  • Fix: Request additional documentation from land registry office

  • Error: Automated assessment seems incorrect

  • Fix: Review comparable properties and apply manual adjustment if warranted

What Happens After

Once the property registration is complete:

  1. Property Active for Taxation: Property enters active tax roll for next billing cycle

  2. Assessment Scheduled: Property added to regular assessment review schedule

  3. Owner Notified: Initial tax notice sent to registered owner

  4. Records Synchronized: Property data shared with relevant municipal departments

  5. Audit Trail Created: All registration actions logged for compliance purposes
