Understanding the Interface

Account Display

The page shows a hierarchical view of G/L accounts with:

  • Indented structure reflecting the chart of accounts hierarchy

  • Bold formatting for non-posting accounts (headings and totals)

  • Clean display with blank zeros hidden for better readability

Key Columns

Focus on these essential columns for budget analysis:

  • No.: Account number for identification

  • Name: Account description with hierarchical indentation

  • Net Change: Actual activity in the account

  • Budgeted Amount: Planned amounts from budget setup

  • Difference: Variance calculation (Budget - Actual)

Core Workflows

1. Budget Performance Review

Monthly Budget Analysis
  1. Open the Account Budget Overview page

  2. Review the Difference column to identify variances

    • Positive differences indicate under-spending vs. budget

    • Negative differences indicate over-spending vs. budget

  3. Focus on significant variances that require attention

  4. Use hierarchical structure to understand account relationships

Drill-down Analysis
  1. Identify accounts with significant differences

  2. Press Ctrl+F7 or use the Ledger Entries action

  3. Review detailed transactions to understand variance causes

  4. Use dimension filters for more focused analysis

2. Account Activity Investigation

Finding Active Accounts

The page automatically shows only accounts with:

  • Non-zero net changes (actual activity)

  • Budgeted amounts (planned activity)

  • Non-zero balances at date

Detailed Transaction Review
  1. Select an account with activity

  2. Use Ctrl+F7 for quick access to ledger entries

  3. Review transaction details filtered by:

    • Income/Balance classification

    • Selected account number

    • Date range (if applied)

3. Dimension-Based Analysis

Using Global Dimensions
  1. Apply dimension filters at the page level

    • Global Dimension 1 (typically department/cost center)

    • Global Dimension 2 (typically project/analysis code)

  2. Use "by Dimension" action for detailed breakdown

  3. Analyze performance by dimension combination

Multi-Dimensional Reporting
  1. Access Balance group actions

  2. Select "by Dimension" for cross-dimensional analysis

  3. Use "by Periods" for time-based dimension analysis

4. Budget vs. Actual Comparison

Understanding Variance Analysis
  1. Review the Difference column systematically

  2. Identify patterns in variances:

    • Consistent over/under-spending

    • Seasonal variations

    • One-time events

  3. Use account hierarchy to understand impact at different levels

Exception Management
  1. Sort by Difference (if enabled) to prioritize

  2. Focus on largest absolute variances first

  3. Investigate root causes using drill-down actions

  4. Document findings using Comments action if needed

Keyboard Shortcuts

  • Ctrl+F7: Quick access to ledger entries (most frequently used)

  • Standard Business Central navigation shortcuts apply
